ONLINE ENTRIES
Entries are taken online only via this website. Online entries open on Thursday 15th October 2015 at 10AM Australian Eastern Daylight Time. The entry system is the same as used for the 2015 event so if you ran The North Face 100 or 50 in 2015, the system will recognise you and you can use the same email address and password to login and enter.
Entries for the 2015 event sold out in 1 1/2 days so if you are desperate for an entry you should get in as soon as you can after the opening time. If you will be away from a computer during the opening time but you are desperate to get an entry immediately then you will need to ask a friend or family member to enter the race for you. Your friend will need all of your details as required in the online entry form. To see the details required for the online entry form click here UPDATE THIS FORM . Please note that the organisers cannot reserve places for anyone as this would not be fair to other people also trying to get an entry.
You will receive a confirmation email once you are entered. Note that if you registered with a Hotmail address, the confirmation email will always be found in the 'Junk' folder. If you entered with a Gmail address, the confirmation will usually be found in either the 'Promotions' folder or 'Updates' folder. If you do not receive a confirmation email within 10 minutes of entering the race, check these various folders or 'Spam' folders. To resend your confirmation email, see instructions below under 'Amending Your Entry Details' >> 'To Log back into your entry'.
There is a limit of 1300 entries for the 100km event.
AMENDING YOUR ENTRY DETAILS
You can log back into your entry at any time up until 9pm Thursday 12th May to amend any personal details and race specific details except your name, date of birth and gender. You can only amend your name, date of birth and gender online within two weeks of creating your entry system (Event Plus) profile. If you do need to change your name, date of birth or gender after this two week period has passed, please <<contact us>> (LINK TO [email protected]) with the request. Note that you can change all other personal details and race specific details online including email address, support crew information, medical conditions, phone number, emergency contact, address etc. You can only amend requested start group and add a previous race result up until 11:59pm Monday 4th April as the start group approval process will begin after this date using an XLS download of all entries.
Note that there are two places which ask for your mobile phone number. One is on the ‘My profile’ page and one is within the ‘In race contact details’ on the ‘Registration’ page. This way, you can have a different mobile number in the race to your normal phone number. This may be particularly useful for international runners. If you do have a new normal mobile phone number and plan to use this in the race, remember to update the mobile phone number on both the ‘My Profile’ page and the ‘Registration’ page online.

ENTRY TRANSFERS
TRANSFER OF ENTRY BEFORE 5TH APRIL 2016 (EARLY ONLINE ENTRY TRANSFER)
You are able to transfer your entry online to an acquaintance up to 11:59pm Monday 4th April 2016. You need to find the person yourself to transfer your entry to. You need to sort out payment between yourself and the person taking your entry. To transfer your entry or accept an entry transfer you should read the following instructions How to Transfer an Entry to Another Runner Before 5 April (Early Online Entry Transfer). The person who is taking your entry will also need to pay a $30 transfer fee online to complete their new entry.
TRANSFER OF ENTRY BETWEEN 5TH APRIL & 5TH MAY 2016 (LATE ONLINE ENTRY TRANSFER)
You are also able to transfer your entry online to an acquaintance between 11:59pm Monday 4th April 2016 and 11:59pm 5th May 2016. You need to find the person yourself to transfer your entry to. You need to sort out payment between yourself and the person taking your entry. The person who is taking your entry will also need to pay a $60 cash transfer fee when collecting their race pack from Race Check-In.
TRANSFER OF ENTRY AFTER 5TH MAY 2016 (LATE ENTRY TRANSFER)
If you find someone to transfer your entry to after 11:59pm Friday 5th May 2015 that is absolutely fine but please do not contact the event organisers. Instead, the transfer must be done at Race Check-In and will incur a $120 cash administration fee. No transfers are permitted on the Saturday morning of the event. You must ensure that you forward any event specific emails to the new entrant. You need to make the new entrant aware that they must read the Competitor Briefing document. You also need to make the new entrant aware that their support crew, if one is being used, must read the Support Crew Briefing Document.
If you are selling an entry via a Late Entry Transfer you do not need to come to Race Check-In. Instead, the person taking your entry must bring the following to the 'Transfers' table during Race Check-In (whenever Race Check-In is open):
TRANSFER BETWEEN EVENT DISTANCES BEFORE 5TH APRIL 2016 –ONLY IF ENTRIES ARE AVAILABLE
If there are entries available, transfers can be made between the 100km, 50km and 22km events up to 11:59pm Friday 4th April 2016. Transfers cannot be made between the events after this date. If you are transferring downwards in distance; ie 100km to 50km, 50km to 22km or 100km to 22km, there is no refund of the difference in entry fee. If you are transferring upwards in distance, ie 50km to 100km, 22km to 100km or 22km to 50km you must pay the difference in entry fee plus a $30 administration fee.
To check the possibility of transferring between the events, please <<email>> (LINK TO [email protected]). Include in the subject line of the email: ‘Ultra-Trail Australia Request to transfer between event distances’. In the email, include your name, the event you are currently entered into and the event you would like to change to. You will receive a return email on whether it is possible to transfer between events and if so, how to go about making the change via the entry system.
Note that as there are strict number limits for each separate event, you will only be able to transfer your entry between the events if there are spaces available in your desired distance at the time. It is quite possible that events will be full and transfers between events will not be possible.
REFUND POLICY
If you can't find anyone to replace you and would prefer a refund of your entry fee we are able to provide:
In the event that the event course is, in the opinion of the event organisers, unsafe (for example by reason of heavy rain, high winds, bushfires, "acts of god"), organisers may, in their sole discretion, attempt to re-route the course, find an alternative shortened course or cancel the event. Organisers also reserve the right to cancel the event for any other reason which may include but is not limited to terrorism and war. If the event is cancelled, re-routed or shortened, no refund or transfer to another event will be made. Due to the scale of the event and travel & commitment involved by competitors, it is not practical to re-schedule the event to any other weekend.
ENTRY REQUIREMENTS
There is no requirement to have completed any other particular event in order to participate in Ultra-Trail Australia 100. Having previous experience in other large participation ultra trail running events will however help you to make a suitable start group selection and will assist with the start group approval process. You are required to be at least 18 years old. You also need to be an experienced trail runner and must be sufficiently skilled and trained to undertake the event. The course is very tough and demanding with remote sections that can result in slower first aid / rescue response times. It is a combination of fire trail and narrow walking tracks including some very steep sections on staircases, on ladders, on dirt and on rock and sections that are rough under foot. It is your responsibility to ensure that you are fit enough to complete the event which may take you up to 28 hours to finish. Ensure that you are in good health and that you do not have any illness that will hinder your ability to complete the event. It is your responsibility to monitor your health and condition during the event and to withdraw from the event if you are no longer fit enough to continue.

INSURANCE
The organiser of the Event, AROC Sport, has public liability insurance cover. This does not include personal accident insurance for competitors. We recommend that you arrange your own personal accident insurance, ambulance cover and income protection insurance before participating in the Event to cover any unforeseen personal costs you may incur due to ambulance trips, medical expenses or time off work due to injuries sustained whilst participating in the Event. International participants should take out travel insurance that provides cover for ultra-trail running events. - Click 'User Profile' in the top menu bar
- Enter your email address and password within 'Login Details'
- Proceed to check / amend your personal details including email address, name, date of birth, Gender, Occupation, Postal address and phone numbers.
- Click on 'Save > Go to Event Registration >' which takes you to your event specific details within the event entry form.
- Proceed to check, add or amend your past result and start group request before 11:59pm 4th April. Also check and amend other event specific details including emergency contact details, support crew details, medical conditions, mobile phone number you will carry in the race, etc before 9pm 12th May.
- If you have updated any of your event specific information, when you have finished, click the blue 'Update' button at the bottom of the page. You can also get another email confirmation sent to you by clicking the blue 'Resend email confirmation' button.
- When you are completely finished, click 'logout'
